Job Introduction

 

The BBC Proms is the biggest classical music festival in the world. We run over 100 live events over 2 months in the summer at the Royal Albert Hall in London and venues around the UK. Nearly everything we do is broadcast across BBC Radio, TV and online.  We are a creative, innovative festival that connects with audiences around the UK and across the globe.

 

We are looking for a Content Assistant to join the Business Team. The successful candidate will work and communicate with a wide range of people, from external Artists, Orchestras & Choirs, Publishers, and Agents to BBC Internal Departments, and many more. The main duty in this role will be the administering of complimentary and promoter tickets, but there will be many other tasks, which will be informed by the Business Coordinator. The Business Team is a small, dynamic team that works very closely with Marketing, Communications and Live Events, and the successful candidate will have opportunities to grow their skills in these areas in the role, through tasks such as setting up systems, providing administrative support, and working at events throughout the Proms Season.

 

In any single week at the BBC Proms you could be working on events like a London Symphony Orchestra Prom with Sir Simon Rattle, a Northern Soul Prom, a Horrible Histories Prom, a City of Birmingham Symphony Orchestra Prom, a Chineke! Main Responsibilities

 

The BBC Proms Team are recruiting for a 4-month fixed-term role as a Content Assistant, running from May 2024 to the end of the Proms Season in September 2024.

 

The Content Assistant will provide comprehensive administrative support to managers and team-members within the Business Team. The role will be responsible for a broad range of administrative tasks, including the handling and direction of queries, maintenance of records, acting as the first point of contact for the team, and the coordination of projects and activities. Working closely with the Business Coordinator, the Content Assistant will play a crucial role in the ticketing process in the 2024 Proms Season.

 

Additional duties include:

 

  • To contact, record and administer the complimentary and promoter tickets including artists, agents, publishers and internal contacts.
  • Liaising with internal and external contacts including the Royal Albert Hall, Agents, Artists and Orchestras, including the BBC Performing Groups, Publishers, BBC Radio 3 and various other contacts, both internal and external.
  • To maintain accurate spreadsheets of complimentary, promoter/guest tickets and financial information.
  • To send through lists with ticket requirements to the Royal Albert Hall Box Office on a daily basis.
  • Manage the spreadsheet recording internal orders for concert programmes.
  • Assist in some front of house duties, i.e. Press Duty during the Proms season with other members of the Proms team.
  • To undertake general administrative duties.

 

Are you the right candidate?

 

To be successful in the role you will need:

 

  • Excellent interpersonal skills (i.e. able to communicate collaboratively and confidently with a wide range of people).
  • Excellent forward planning and organisational skills are essential.
  • The ability to demonstrate a flexibility of approach and have the ability to work using initiative, as well as part of a team in a timely and organised way.
  • Proficiency in the use of Excel and Google Docs, and have the ability to adapt quickly to a variety of software packages.
  • To be able to cope under pressure with a demanding workload and short deadlines. Able to work in a fast-paced environment.
  • Experience of working in an administrative role within an office environment.
  • A commitment to creating inclusive opportunities for people of all backgrounds to participate in arts and culture.
  • Experience of working in music and live events is desirable but not essential.
