Join the team at the Constituency Office of the Hon. Karina Gould, Member of Parliament for Burlington, as a Communications Assistant. We are looking for a dynamic individual to support our office in various communication-related tasks.

Duties and responsibilities

  • Manages the MP Public email, tracks and responds to incoming correspondence – monitors incoming email and physical mail, and drafts responses to constituent correspondence.
  • Researches, analyzes, and identifies information for the preparation of speeches, presentations, briefings, press releases and correspondence.
  • Develops and manages the production of Householders, Constituency Mailers, Holiday Cards, and other communications materials for the riding as required.
  • Prepares and mails congratulatory citizenship certificates for constituents.
  • Prepares and distributes congratulatory graduate certificates to Elementary Schools and High Schools.
  • Provides additional support to the Community Engagement and Communications Officer for communications material as needed.
  • Assists in preparations for community relations and outreach, including monitoring community activity and participating in community events either on behalf of or with MP.
  • Assists with Member’s Social Media presence and strategy.
  • Builds and maintains effective relationships with Ministerial support staff.
  • Builds and maintains effective relationships with relevant local support staff, including but not limited to the City of Burlington, Halton Region, Member of Provincial Parliament, and other community agencies and stakeholders.
  • Helps with special projects that aim to improve the effectiveness of the office’s administrative operations.
  • Maintains database concerning all constituent contact utilizing CRM software.
  • Performs other related duties within the scope of the position.

Knowledge, skills, and abilities:

  • Superior written and verbal communication skills.
  • Strong organizational and time management skills. Ability to work under pressure and meet deadlines.
  • Exceptional judgment and interpersonal skills, and ability to exercise diplomacy when interacting with the public and stakeholders.
  • Knowledge of current events and the political and parliamentary environment. Deep interest in Canadian politics and awareness of current global issues.
  • Ability to research, analyze and synthesize complex findings within a short time frame.
  • Ability to work collaboratively as part of a small team is a necessity.
  • Familiarity with programs run by the federal government.
  • Proficient in MS Word, Excel, Outlook, Publisher, Microsoft Teams, and other virtual meeting platforms.
  • Willingness to work some flexible hours, including occasional evenings and weekends.

Asset qualifications include:

  • Previous Constituency or Parliament Hill experience.
  • Strong local knowledge of the Burlington riding.
  • French language proficiency would be considered an asset.
  • Valid G Driver’s Licence and access to a car.

Education and experience

  • Experience working in an office setting providing communications and administrative support.
  • University degree or post-secondary education from a recognized institution in communications, journalism, political science, or a related field, combined with experience in communications involving large projects and working with senior management OR an acceptable combination of education, training and relevant experience.

Working Conditions:

  • Security Clearance: You must submit and clear a security clearance as a condition of employment.
  • In-person job position – Location: 777 Guelph Line Suite 209, Burlington, ON L7R 3N2
  • Full-time 8:30 am – 4:30 pm. Some evening and weekend work will be required.

Job Type: Full-time

Pay: $40,000.00-$45,000.00 per year

Schedule:

  • Monday to Friday
  • Weekends as needed

  • Bachelor’s Degree (required)

Experience:

  • Administrative: 2 years (required)
  • Customer service: 2 years (required)
  • In a communications role: 2 years (required)

Licence/Certification:

  • Class G Licence (preferred)
